User Management

This guide covers workflows that are common to Scimify and Challenge. Each product has different roles and permissions—use the product-specific pages for the details that matter to your team.

Overview

The Users page in your admin console lets Admins and Owners:

  • Create new users
  • View user details
  • Update roles or admin access (UI differs by product)
  • Suspend or activate accounts
  • Delete users
  • Search and filter the user list

Accessing User Management

  1. Log into your product admin console:
  2. Open Users from the navigation.
  3. You must have Admin or Owner privileges.

User status

Users can appear as:

  • Active — Has logged in and can use the console (subject to role and subscription).
  • Pending / Invited — Created in the tenant but has not completed first login.
  • Suspended — Temporarily blocked from admin features.

Creating users

  1. Click Create User.
  2. Enter Email address and Full name.
  3. Set initial access:
    • Challenge — Choose Viewer, Analyst, or Admin from the role dropdown. See Challenge roles.
    • Scimify — Check Grant admin privileges for Admin; leave unchecked for Viewer. See Scimify roles.
  4. Click Create User.

Note: No email invitation is sent. Users sign in at the product URL; the account links to your tenant when the email matches.

Suspend vs delete

Both products recommend suspend over delete when audit trails matter. See:

Owner constraints

  • The Owner is the original tenant creator with full administration (including billing where applicable).
  • You cannot change, suspend, or delete the Owner from the UI.
  • You cannot change your own role or delete yourself.
  • Contact support@veraproof.io if ownership must transfer.

Viewing user details

  1. Find the user in the table.
  2. Click View.
  3. The modal shows name, email, user ID, auth provider, role or admin status, subscription status, and timestamps.

Search and filters

  • Search — Filter by name or email as you type.
  • Filters — Status, role or admin status, and (on Scimify) subscription status vary by product.
  • Refresh — Reload the table and summary statistics.

Best practices

  1. Least privilege — Default to Viewer (or Analyst on Challenge only when Responder access is needed).
  2. Suspend before delete when audit attribution or a possible return matters.
  3. Review access periodically — Remove or suspend accounts that no longer need the console.
