User Management

This guide covers how to manage users in Veraproof products (Scimify and Challenge), including adding new users, removing users, and updating user roles and permissions.

Overview

The User Management page in your product admin console allows administrators to:

  • Create new users
  • View user details and activity
  • Update user roles (Admin/Viewer)
  • Suspend or activate user accounts
  • Delete users
  • Search and filter users

Accessing User Management

  1. Log into your product admin console:
  2. Navigate to the User Management page from the admin dashboard
  3. You must have Admin or Owner privileges to access this page

User Roles

Veraproof products support three user roles:

  • Owner: The original tenant creator. Owners have full access to billing and tenant administration. Owners cannot be modified or deleted without a support ticket - contact support@veraproof.io
  • Admin: Users with administrative privileges who can manage integrations, users, and settings.
  • Viewer: Standard users with read-only access to integrations and configurations.

Adding Users

Create a New User

  1. On the User Management page, click the Create User button in the top-right corner
  2. Fill in the user details:
    • Email Address: The user’s email address (required)
    • Full Name: The user’s display name (required)
    • Grant admin privileges: Check this box if you want to grant admin access immediately
  3. Click Create User

Note: No email invitation will be sent. The user can log in immediately at their product’s admin console (scimify.veraproof.io or challenge.veraproof.io) and their account will be automatically linked to your tenant.

User Status

Newly created users will have one of the following statuses:

  • Active: User has logged in and is active
  • Pending: User has been created but hasn’t logged in yet
  • Suspended: User account has been suspended

Updating User Roles

Grant Admin Privileges

  1. Find the user in the users table
  2. Click the Make Admin button in the Actions column
  3. Confirm the action in the dialog box
  4. The user’s role will be updated to Admin immediately

Remove Admin Privileges

  1. Find the admin user in the users table
  2. Click the Remove Admin button in the Actions column
  3. Confirm the action in the dialog box
  4. The user’s role will be updated to Viewer

Note: You cannot modify the role of the Owner account or your own account. Reach out to support@veraproof.io if you need to modify the owner account.

Managing User Access

Suspend a User

Suspending a user temporarily revokes their access to admin features:

  1. Find the user in the users table
  2. Click the Suspend button in the Actions column
  3. Confirm the action in the dialog box
  4. The user’s status will change to “Suspended”

Activate a Suspended User

  1. Find the suspended user in the users table
  2. Click the Activate button in the Actions column
  3. Confirm the action in the dialog box
  4. The user’s status will change to “Active” and they will regain access

Removing Users

Delete a User

  1. Find the user in the users table
  2. Click the Delete button in the Actions column
  3. Confirm the action in the dialog box
  4. The user will be permanently deleted from the tenant

Warning: Deleting a user is irreversible. This action cannot be undone.

Note: You cannot delete the Owner account or your own account.

Viewing User Details

To view detailed information about a user:

  1. Find the user in the users table
  2. Click the View button in the Actions column
  3. A modal will display:
    • User name and email
    • User ID
    • Authentication provider
    • Admin status
    • Subscription status
    • Integration configurations
    • Account creation date
    • Last login time

Searching and Filtering Users

The User Management page provides several ways to find users:

Search Users

  • Use the search box at the top to search by name or email address
  • The table will filter in real-time as you type

Filter Users

You can filter users by:

  • Admin Status: All Users, Admin Users, or Non-Admin Users
  • Subscription Status: All Subscriptions, Active, Trial, or Inactive
  • User Status: All Status, Active, Pending, or Suspended

Refresh User List

Click the Refresh button to reload the user list and update statistics.

User Statistics

The User Management page displays summary statistics:

  • Total Users: Count of all users in the tenant
  • Active Subscriptions: Number of users with active subscriptions (Scimify) or active billing status (Challenge)
  • Admin Users: Count of users with admin privileges
  • Last Login: Most recent login time across all users

Best Practices

  1. Regular Audits: Periodically review user access and remove users who no longer need access
  2. Principle of Least Privilege: Only grant admin privileges to users who need them
  3. Monitor Activity: Use the “Last Login” information to identify inactive accounts
  4. Suspend Before Delete: Consider suspending users before deleting them to ensure they no longer need access
